Service briefs

Operations management services, written as work we can install.

Digitalmadobs provides operations management services for teams that need a clearer operating system. Each brief below states purpose, scope, process, deliverables, and fit. Commercial packaging is on the offer page.

Service

Operational Diagnostic

See how work really moves before anyone redesigns it.

A time-boxed review of intake, queues, ownership, meetings, and exceptions. The output is a stall map and a recommended operating stack — not a generic maturity score.

Scope

Selected core flows (usually two to four), interviews with owners, a sample of live work items, and a written diagnostic note.

Process

Kick-off, work sampling, stall workshop, then a readout with options to proceed or stop.

Deliverables

Stall map, owner/backup gaps, meeting audit, and a recommended next engagement.

Who it suits

Teams that feel busy and late, but cannot point to a single process as the cause.

Service

Cadence & Meeting Architecture

Give the week a spine so decisions do not wait for heroics.

We design the operating rhythm: which conversations happen daily, weekly, and monthly; who must be there; what is decided; and what is explicitly not a meeting.

Scope

Leadership and delivery cadences tied to the work already mapped. We do not add meetings to look “professional”.

Process

Inventory current meetings, cut or merge the ones without a decision, install a trial cadence for two cycles, then freeze the calendar rules.

Deliverables

Cadence charter, meeting purposes, pre-reads, and a simple attendance rule.

Who it suits

Teams whose status meetings recap the past week and still leave blockers untouched.

Service

Workflow & SOP Design

Standardize the work that carries revenue, delivery, or compliance.

Short, usable standard operating procedures for the flows that actually matter. Written so a competent new teammate can follow them without a private briefing.

Scope

Agreed processes only. We do not produce a binder of unused policies.

Process

Observe a live cycle, draft the SOP with the owner, trial it, then lock version one.

Deliverables

SOP pack, definition of ready/done, and a revision rule.

Who it suits

Service, fulfilment, and professional firms that grew faster than their documentation.

Service

Handoff & Queue Design

Stop work from losing context every time it changes hands.

We define queues, WIP limits where useful, and the minimum package that must travel with a request. The next person should start, not reconstruct.

Scope

Interfaces between roles or teams — sales to delivery, intake to specialist, specialist to close.

Process

Trace dropped items, design the handoff packet, install a queue view, then review ageing once a week.

Deliverables

Handoff checklist, queue rules, ageing policy, and owner map.

Who it suits

Teams with rework, “I thought you had it,” and clients who hear two different statuses.

Service

Operational Visibility

See exceptions while they are still cheap.

A board and a small set of operational measures: intake volume, age in queue, blocked items, and missed cadences. Designed to be updated as part of the week, not as a reporting project.

Scope

One operating board and a weekly exception note. No vanity dashboards.

Process

Choose the few signals that change a decision, build the board on tools you already have, then run it for two reporting cycles.

Deliverables

Board definition, exception report template, and update ritual.

Who it suits

Leaders who only hear about trouble when a deadline or client is already at risk.

Service

Embedded Operations Support

Keep the system honest after the first install.

A retained cadence: we sit with owners, review exceptions, refine SOPs, and coach backups so the operating system does not quietly revert to chat.

Scope

Agreed weekly or bi-weekly operating sessions plus written notes. Not an outsourced management layer that hides from the team.

Process

After a diagnostic or install, we agree a retainer window, a decision log, and a stop rule.

Deliverables

Session notes, updated artifacts, and a monthly operating letter.

Who it suits

Teams that want a partner on the cadence while internal ownership matures.

Not sure which brief to start with? Most teams begin with a diagnostic, then choose cadence, SOPs, or visibility. Request a conversation.
